How do I send you my advert?

You can send your advert to us, as a high res PDF, with the valid URN embedded, via one of our approved preflight delivery methods.

What is a URN?

A URN (Unique Reference Number) is your ad’s unique booking number. We use this number to match your creative to the correct booking. Without it, our team has to manually match creatives to bookings based on other information you enter, this information can sometimes be misleading so we request all ads to include this URN which means there is no confusion and reduces the opportunity for our team to match creative incorrectly.

See HERE for more detial on URNs, what they look like, and where to find them.

As of February 2, 2020, All ads MUST include a URN. Any ads that do not include a URN will not be covered by any complaint arising from mis-matching.

When do you need my advert?

We MUST have your advert PDF by the copy deadline for the edition/section your ad is appearing in. Many of our titles/sections are pre printed days or weeks before their edition date.

Deadlines can be found here:
Times Deadlines | Sunday Times Deadlines | Sun Deadlines | Magazine Deadlines

why do you need my advert so early?

Compared to most industries our deadlines are very close to the product being manufactured, we simply allow enough time so that if your ad arrives and has any issues (wrong size, poor colour, missing content), you then have enough time to rectify them and resend, before the product goes to press/goes live.

What happens if i miss the deadline?

You MUST NOT miss the deadline, it is within the terms of your contract with us via purchase that, should no copy arrive by the deadline, it may not print and you or your client will still be charged for the space.

Our deadlines ensure that our products print and can be distributed effecitvely across the country and the world, we cannot risk putting the production of our titles at risk for late advertising.

I may not be able to deliver my ad by the deadline, what should i do?

If you find that you are running out of time to deliver your ad to us by the deadline, you MUST get in touch with either your commercial contact or us here in AdOps - STRAIGHT AWAY. We can then make arrangements to move your advert to an alternate day, repeat a previous ad, or in some cases - offer a small extension on the deadline, if possible.

I need to send you a new ad to replace one i have already sent (sub copy)

That is fine, we can accept ‘Sub Copy’ upto the deadline of the edition/section your ad is appearing in. Please do two things:

  1. Send your new ad via the approved method - make sure you put ‘SUB’ in the filename.

  2. Call or Email ci@news.co.uk to inform us that Sub Copy is being sent and we will replace your old file.

! our office hours are 10:00-19:00 Mon-Fri, if you need to sub copy over the weekend (on Sat for Sunday, on Sun for Monday) please email: publishingdelivery@news.co.uk who manage all out of hours and weekend publishing operations.

I would like you to use a previous advert for my upcoming insertion (Repeat copy)

You can use previous creative for any of your upcoming bookings - if you ran a successful full page last week and wish to use the same copy again this week, please; email a ‘repeat instruction’ to ci@news.co.uk, we will need to know:

  • Title & Insertion date of upcoming booking (+URN if you have it)

  • Title & Insertion date of creative to repeat (+URN if you have it)

  • Visual of creative to repeat (low res will suffice)

What is ‘copy chasing’?

It is your responsibility to ensure that you fulfil your booking with an advert, to the correct spec, by the deadline. However, as a courtesy we will chase you or your nomimated repro agency that is trafficking your ad for you to remind them of the booking and ensure everything is in hand.

This is NOT a confirmation of booking and you should not wait for, or rely on a copy chasing email or call to send your ad.

I didn’t receive a chasing call/email and my ad did not run

It is your responsibility to manage your campaign, and ensure that you fulfil your booking with an advert, to the correct spec, by the deadline.

A chasing call or email is a courtesy reminder. While we endeavour to chase every ad, in some cases it is not always possible to contact the correct person in time and so you should not rely on a chase to remind you to send your creative to us.
